Each year the National Secretary has to enlist the aid of the Area Representatives to get the Chapters to send their Annual Reports to him. These reports are important in that they insure that the Chapter is included in the NSI Group Return to IRS. Due 31 July, timely submission of this report is of the utmost importance. Failure to submit this report can result in serious consequences for the Chapter. Because of this and a reporting deficiency in other areas as well, I chose to address in this article the importance of accurate and timely reporting.
Effective command control communications are vital to all successful operations – that is just as true for a fraternal organization as it is for a military, governmental or a corporate organization. Although the definition of the term “command control communications” may include several things, suffice it to say that reporting is a very important aspect. Effective control or governance depends on accurate and timely reporting from the units to the headquarters.
In the last issue of The Sojourner I noted the important role of the Area and Regional Representatives in the operation of our Order. The Area/Regional Rep is the leadership link between the National President and the local Chapter. Their reporting requirements are outlined in National Regulation 10.1 and are intended to keep the National Line officers aware of the general health of our fraternity and aid them in developing programs essential to the successful accomplishment of our mission. The AR/RR reports are vital in this process.
Let us now consider the important role of the Chapter Secretary as well. He is the communications link between the Chapter and NSI Headquarters. His duties and reporting requirements are thoroughly covered in Chapter III of the Chapter Officers’ Handbook. The various secretary reports provide vitally important information on the “status of the forces”, i.e. membership strength, etc. These reports must be accurate and timely. Failure to submit the Annual Report can result in serious consequences with IRS. Other reports provide important information to the National Line on how well the fraternity is performing its mission.
In conclusion, Gentlemen, although the problem is not serious, some improvement is needed and I am confident that your professional pride will bring it about.
